Terms and Conditions
Before making a reservation at Adventure
Explorers we encourage you to read these Terms and Conditions carefully, as
they constitute a contract agreement between Iceland Tours and you from the
time the booking is made. The person who makes the booking accepts these
conditions on behalf of all the people in the group and is responsible for all
payments due.
HOW
TO BOOK A TOUR WITH ADVENTURE EXPLORERS?
Booking procedure is very simple. Follow
simple steps to be in Pakistan.
1) Decide where and when to travel.
2) Contact us via email or phone and
give us confirmation about your coming to Pakistan.
3) Decide what you want in your travel
package and write us accordingly or we can together design a customized
itinerary best to your needs. Please E-mail us at
info@adventureexplorers.com.pk or adventure_guides@yahoo.com . We will provide
you all required information regarding your tour.
4)The booking process starts when we
receive your deposit and booking form, at which point we can start to confirm
your travel arrangements.
5) Pack your bags and fly to Pakistan as
per the itinerary finalized we await to welcome you to the Land of Pakistan. Adventure
Explorers specialist will be handling your trip from start to finish: please
feel free to contact them at any time.
TERMS
OF BOOKING & PAYMENT
Your booking is confirmed and a contract
exists after receipt of the applicable deposit amount. Bookings can be made by E-mailing or faxing
booking form together with a deposit (Money grams, telex transfers, demand
drafts, cash or money order) of 20% of total package. The balance of the tour
price will be due and payable before 6 weeks prior to the tour departure date.
Tour programs booked within the 30 days period are due and payable in full at
the time of booking.
You must be at least 18 years of age to
make a booking. You agree to provide full, complete and accurate information to
the Tour Operator.
CANCELLATION
AND REFUND POLICY
If a reservation has to be cancelled,
customers will be charged a fee depending on how far from the departure date
the cancellation takes place. All cancellations must be confirmed in writing by
fax or e-mail directly to Adventure Explorers. Cancellations made prior to
receipt of final payment are subject to a $100 (US) processing fee.
Charges on cancellation of tour program after
final payment are as under.

days prior to departure – 50% of total purchase amount

Less
than 30 days prior to departure – 100% of total purchase amount
·
Service/transaction
charges will be deducted from refundable amount.

No
refund for any unused service/portion of trip after end of tour.

All
payments and refunds are dude in US dollar.
Adventure Explorers is not responsible
for any changes in currency exchange rates that might occur from the time of
booking until a refund is made.
EXTRA
COSTS & TICKETS
Our prices do not include extra costs
like the Ramp Usage Fee for Paragliding and Hang gliding. Our inclusive quotes
and conditions are strictly based on the enclosed itinerary and total number of
hotel and camp nights mentioned therein. The rates are quoted per person based
on sharing a double room and a two-person tent. A single room and tent can be
provided on payment of a single supplement.
TOUR
CUSTUMIZATION & EXTENSIONS
You acknowledge that the nature of
adventure travel requires flexibility and acknowledges that they will permit
reasonable alterations to products, services or itineraries by the Tour
Operator. If you desire to take an extension of tour, please feel free to
contact us for a customized itinerary.
GROUP
DISCOUNT POLICY
We offer special discount for group
organizers. If you wish to travel with a group of friends -maybe with a special
interest in common - we can make all the arrangements. For larger groups we may
be able to offer a free place to the organizer. Please E-mail us to discuss
your plans.
TRAVEL
DOCUMENTS
Documents (vouchers, itineraries etc.)
are only prepared and released on receipt of payment of the Price in full.
INSURANCE
Our tour price does not include any
travel insurances. It is advised that all clients take out adequate insurance
in order to cover instances such as trip cancellation, medical, baggage,
accident or injury, loss of or damage to baggage and other personal effects.
This
insurance must be arranged yourself directly with your agent/insurance company.
PASSPORT
& VISAS
You must carry a valid passport and have
obtained all of the appropriate visas, permits and certificates for the
countries in which you will visit during your trip. We are not responsible if
you are refused entry to our country because you lack the correct passport,
visa or other travel documentation.
ITINERARY
VARIATIONS AND TRANSFERS
While every effort is made to keep to
the final itinerary in accordance with the Client’s application, Principals
and/or the Company reserve the right to make changes intended for the Client's
convenience e.g. in some cases, weather conditions can necessitate an
alteration in the itinerary, substitute hotels where necessary and this does
not constitute any reason for a refund.
LIABILITY
Adventures Explorers, its agents and
employees will not be liable for any injury, death, damage, loss, accident,
delay, theft, irregularity or acts of God, either by the acts of any company or
person engaged in conducting the tour.
CHARGES
IN CASE OF DELAYS
If the trip has to be delayed due to
canceled or delayed flights, sickness, accidents, bad weather, road washouts,
Govt. restrictions, or any other contingency for which Adventure Explorers cannot make
provisions, the resulting extra cost for such delays will be charged
separately.
FLIGHTS
CONDITIONS
All flights to Northern Areas of
Pakistan are subject to weather clearance, and, in winters, flights are often
delayed due to bad weather conditions, in this case alternative surface
transportation will be arranged. If any additional costs are involved due to
this change, these will have to be paid for locally.
CANCELLATION
BY THE OPERATOR
If Tour Operator cancels a confirmed
booking, only deposit received from the passenger(s) will be refunded as full
and final settlement.
PRICE
CURRENCY
Please note that all prices are
mentioned in United States Dollars and are based on conversion rates prevailing
as at booking time. Significant changes in the value of the Dollar in relation
to various currencies or drastic increase in cost of land/ air services may
necessitate increase in the tour cost. However, once the tour is paid in full,
you are guaranteed against future price increases, provided no change is made
by the passenger (s) to the original booking.
TRANSPORTATION
Transportation is provided according to
travel nature. We provide (where required) Toyota Coaster/Hi-ace Van fully
air-conditioned and equipped with all necessary modern facilities. In order to
ensure safety of travelers we choose only those drivers who have 15-20 years
experience driving for tourists in their respective areas.
Willy Jeep; Please note that the jeeps
used in Pakistan are open jeeps (with soft canvas roof which can be removed and
roll-up/down sides) and do not have seat belts, roll bars or restraining sides.
They are old American Willy jeeps, which have been re-conditioned. They are the
most reliable for the road conditions in Pakistan and are easily repaired along
the route you will be taking. They are the most commonly used vehicles for
tourism in Pakistan. Other vehicles like Toyota Hilux, Pajero also can be
arranged on request but they are about 3 times the cost. Please do not expect
European standards. Transport does make a large portion of any program cost for
travel in Pakistan.
MEALS
& FOOD
Meals are only provided as stated in
specific tour descriptions. There is variety of dried and tin food including
vegetables, fish and meat. We have expert cooks having working experience of
5-15 years as a cook for trekking and mountaineering expeditions. They are also
trained in western and hygiene. Our cooks cook assistants are belong to the
valleys where the treks fall, they are familiar with the difficulties
westerners may face with food in Pakistan and use extreme care when preparing
meals for you. We offer large variety of food generally local and western mix. For
both treks and expeditions we provide breakfast cereals, tins of meat, cans of
orange juice, coffee, chocolate, snacks and as well as local food like Chapati,
green tea, lentils and local fresh vegetables etc. We also do our best to
accommodate any dietary requirements.
ACCOMMODATION
There is huge diversity of accommodation
throughout Pakistan. Mostly accommodation for adults is based on sharing twin
or double bedrooms at the nominated or similar standard hotels. Single rooms
are available on most trips although a supplement is payable. However we use
all types and you might stay in anything from tented camps to first class
hotels. For your convenience price will be quoted against each program.
PERSONAL
EXPENSES
All our treks, Expedition and Tours
cover most of the price from Islamabad until you finish your holiday back in
Islamabad. There will be little opportunity for you to spend your money except
to buy soft drinks, snacks. In addition we advise you to keep cash money for
airport taxes, porters, guide, cook and staff tips, souvenirs and other
personal expenses.
RESPONSIBILITIES
The tour operator, and its agents act
only as agents for the owners and/or contractors providing the services and
means of transportation, specified in the itineraries and all tickets and
vouchers are issued subject to the terms and conditions under which such
services and means of transportation are offered and provided. The operator
and/or its agents shall assume no responsibility in any way in connection to or
with any injury, damage, death, loss, accident or delay through the acts of
default of any company or person engaged in carrying out the arrangements of
the tours. No responsibility is accepted for any additional expenses due to
delay, omissions, rerouting, changes in schedule or other events resulting from
improper health certificates or travel documents or as an act of government or
authority or any local conditions such as weather, seasonal variation, labour
strikes, civil disturbances, political unrest and acts of the God.
COMPLAINTS
PROCEDURE
In the event that you have any complaint
during the course of your tour then please bring this to the attention of your
tour guide as soon as possible, and we will endeavor to resolve the matter to
your satisfaction. At the end of tour, you may submit complain to your tour
operator in writing supported by appropriate evidence within 15 days.
PAYMENT
PROCEDURE
Terms & Condition:
Adventure Explorers Pakistan promulgates
its terms and conditions for any kind of trip, trekking, mountaineering,
hiking, rafting, wild safari and other services being operated so far by the
company. The terms and conditions set forth will bring forward its limitations
before any interested visitor advances for the programs alluded.
What should our clients do for
reservation of any kind of services provided by the company?
10% of payment in advance should be made
up 2 months earlier or as soon as the trip is confirmed, since it is a proof
that you are sure to attempt the trip. It should be done as alluded so that the
company can manage all the necessary documents, permissions and required field
staffs.
The full settlement of the payment
should be cleared before the client proceeds for the trip or any kind of
service at the arrival in Pakistan.
The advance payment is not refundable in
case of overturning the trip in any condition on behalf of the client.
The advance payment is only refundable
if the holding company shows any technical impediments regarding the trip.
No refund is made for 10% deposit amount
in case of cancellation of trip for any reason.
For any consideration regarding the
terms alluded, a bilateral negotiation can be attempted between the hosting
company and the client.
If Adventure Explorers cancels your trip
due to unforeseen circumstances like war, natural disasters, conflict,
unfavorable climate etc., we would be happy to refer you alternative trip of a
similar standard. Even though if alternative doesn’t fit your personal
interest, all monies paid by you to our company will be refunded. But remember,
any other expenses incurred by you as a result of this booking are entirely
your responsibility.
Having paid full amount of any trip,
you’re entitled to incur refund in case if you want to cancel your trip. Still,
cancellation charge is invoiced to you. Written notification of your
cancellation should be made to cancel any trip. Nevertheless, you’re imposed
cancellation charge as advised below: -
